The whole business, not just the booking

Admin, money, cleaning, maintenance and the team: the same booking is still there, cross-checked with whatever each area needs to know what's on its plate.

Every payment, checked against what was due

GringoPMS knows which services each apartment has, who pays for them and when they're due, and checks that against what's already been paid. If a piece of data is missing, it says so; if a payment never came in, it says that too.

  • One portfolio at a time: numbers from two portfolios never mix
  • Honest about what it doesn't know: "no payment logged" isn't "overdue"
  • Each apartment's file brings together services, contract and paperwork

The head housekeeper's dashboard

Six numbers answer what you ask the moment you open it: how much is left, whether the arrivals are ready, who showed up to work, and whether there are supplies and cash in the box. Below, the whole team's day in a single timeline.

A summary before the full list

Opened against resolved, time to resolution, how much preventive work got done this week, and what breaks the most: the numbers real maintenance systems use, before you even see the loose tickets.

Maintenance summary

Every portfolio's margin, not an average

If you manage your own apartments and other owners' too, GringoPMS keeps each portfolio's result separate: they never mix in the same number or the same screen.

  • Income, expenses and owner statements, always by portfolio
  • Margin is measured on what's left, not on gross revenue
  • A partner sees only their own portfolio, with no switch to change it

A short file and a status light for everyone

Who has their code, their card and their paperwork up to date, in a single table. Each role sees what's theirs: the owner sees everything, each area's lead sees their own team, and everyone sees their own file.

One connection. Every channel.

Publish availability, rates and bookings on Airbnb, Booking.com, Expedia, Vrbo, Despegar, Google and your own website from a single calendar. When a night sells on one channel, it closes on all the others by itself, which takes away the risk of double bookings.

  • Your own website

No double bookingsWhatever sells on one channel closes on all the others by itself.

Channels available through Channex. GringoPMS’s Channex integration is in its final certification stage.

One booking. Your whole team. Full traceability.

This is what a booking looks like from start to finish. Lucía books apartment 4B on Booking.com and, from then on, everyone on your team sees it on their own screen: who cleaned, who got in, who answered her and what got fixed is all on record, and nobody enters anything twice.

The booking comes in by itself

Booking.com, Airbnb, Expedia and your own website feed the same calendar. When a booking comes in, those nights close on every other channel, with the rates and rules you set.

  • Rates that adjust themselves to demand, events and orphan nights
  • Minimum stay and booking window by date, not by season
  • Your own booking engine for your website, with no channel commission

Every check-out sets up its cleaning

The check-out creates the task and notifies your team. Your cleaning staff does it from the app, with a short checklist and photos of every room, so you have full traceability of how the place was left. Once it’s approved, the apartment shows as ready on everyone’s calendar.

GringoLock

Every booking brings its own key

With GringoLock, the code is generated with the booking, works only during the stay and reaches the guest before the trip, together with the QR for the street door. Nobody has to go let anyone in, and every entry is logged.

Your assistant answers when you can’t

WhatsApp, Airbnb, Booking.com, email and your website in a single inbox, with the booking next to every conversation. After hours, your assistant replies with your operation’s real information: codes, schedules, rates and availability. Whatever it can’t solve, it flags for the morning.

Team inbox

The ticket writes itself

Your assistant reads your guests’ messages in the inbox and, when someone says something isn’t working, opens the ticket by itself, with the unit, the priority and who’s in charge. Your maintenance lead shows up knowing what needs fixing, closes it with a photo, and the cost is charged to the unit. Preventive maintenance schedules itself.

Clear accounts with every owner

If you manage apartments for owners, GringoPMS models the whole business: fixed-rent or revenue-share contracts, expenses per unit, and each month’s owner statement built by itself, with every booking and every ticket inside.

  • Owner contracts: fixed, percentage or stepped
  • Real profitability per unit, not a building average
  • Payments and expenses for each unit in one place

Earn from early arrivals and late departures.

Optional early check-in and late check-out service: GringoPMS charges 10% on extras actually sold and collected through this service.

The fee base deducts refunds and discounts and excludes taxes. It does not apply to the stay itself or extras collected outside the service. Payment processor charges are separate.

Example: collecting USD 100.00 from these extras generates a GringoPMS fee of USD 10.00, before taxes.

Clear terms from the start.

How do the minimum and graduated tiers work?

Pricing is cumulative: each rate applies only to units within its tier. The monthly minimum is USD 99. Up to five units cost USD 99. Units 6–10 add USD 17.50 each; 11–25, USD 15; 26–50, USD 14; 51–100, USD 13; from 101, USD 12. Every tier has the same features.

What counts as an active unit?

Each independently rented apartment or room managed in the account. It counts once, regardless of listings, channels or portfolios. It remains active while occupied, on a monthly rental or temporarily under maintenance. Portfolios, buildings, users and owners do not add units.

Is the price the same without channels or online check-in?

Yes. The same minimum and graduated rates apply without channels or digital check-in. Once you archive a unit, resolve future bookings and disconnect its sales, it stops counting in the next cycle. The monthly minimum remains while the service is active; history is retained.

Is a website included?

A booking page with your brand, photos, availability and payments is included, hosted on GringoPMS. You also get an embeddable booking engine for your existing website. Domain registration, a complete custom website and special development are quoted separately before you commit.

Do automated emails cost extra?

Operational emails are included: confirmations, reminders, receipts and team notifications. Sender and reply addresses are configured during setup. A business email mailbox and bulk marketing campaigns are separate services.

Can I connect my WhatsApp number and use your assistant?

Your assistant inside the PMS supports operational queries. Your WhatsApp Business number and automations are configured during setup, using your account and authorization. Meta, messaging and external AI usage charges are disclosed before activation; unlimited usage is not included.

Where do I receive guest payments?

In your own account with a compatible processor, such as Mercado Pago or Stripe. Fees and terms follow your agreement with that provider. Bank accounts, currencies and available reconciliation are reviewed for your operation during setup.

Which external services do I pay for?

WhatsApp or SMS usage, identity verification, lock or signature-provider licenses, external pricing services such as PriceLabs, domains and payment fees. GringoPMS includes its own pricing engine. Compatibility and cost are confirmed before connecting each service.

Are integrations activated identically for every account?

The plan includes available standard features. Some require data, equipment, accounts or provider permissions. Before setup, we document enabled scope, configuration and any custom migration or work; each team keeps its roles and data separate.

How is a business with several portfolios organized?

The account identifies your organization and its users. Portfolios group property administration, and buildings contain units. Permissions control each person’s access; physical units count once. Independent organizations are configured in separate accounts.
